We collect personal information necessary to deliver volleyball training programs, manage facility bookings, process payments, and ensure participant safety. This includes:

  • Account & Contact Data: Name, email address, phone number, mailing address, and account login credentials.

  • Youth Participant Information: Minor athlete name, date of birth, age, emergency contact details, and relevant medical/health disclosures necessary for athletic safety.

  • Payment Information: Credit card and billing details processed securely through third-party payment providers (e.g., Stripe, Mindbody, or Upper Hand). We do not directly store full payment card numbers on our servers.

  • Technical & Website Usage Data: IP address, browser type, device details, and cookie data collected automatically when navigating our website.

  • Media & Imagery: Photos and video footage captured during training sessions, camps, and events (subject to your consent).


2. Purpose of Collection & Use

We collect and use personal information solely for purposes that a reasonable person would consider appropriate under the circumstances, including to:

 

  • Register athletes and manage session scheduling or facility access.

  • Process billing, invoices, and service transactions.

  • Communicate class updates, weather cancellations, and program changes.

  • Maintain athlete safety and respond to medical emergencies.

  • Improve website functionality, digital drill content, and user experience.

  • Send promotional updates and promotional materials (where you have opted in).


3. Consent

By creating an account, booking a session, or providing personal information on our Site, you consent to the collection, use, and disclosure of your information in accordance with this Privacy Policy.

 

  • Youth Athletes: Personal information regarding minors (under 18 years of age) must be submitted and authorized by a parent or legal guardian.

  • Withdrawing Consent: You may withdraw your consent for non-essential uses (such as marketing emails or media usage) at any time by contacting our Privacy Officer, subject to legal or contractual notice requirements.

     

4. Third-Party Service Providers

We do not sell or rent personal information to third parties. We may share required data with trusted third-party service providers solely to operate our business, such as:

  • Online booking and gym management software (e.g., Mindbody, Communiti).

  • Secure payment gateway processors.

  • Cloud hosting, email notification systems, and website analytics tools.

     

These service providers are bound by strict contractual obligations to keep your information confidential and secure. Some providers may store data on servers located outside of British Columbia or Canada, subjecting that data to the laws of foreign jurisdictions.

Personal information is retained only as long as necessary to fulfill the operational purposes for which it was collected or to comply with legal record-keeping requirements.

Under BC PIPA and PIPEDA, you have the right to request access to the personal information we hold about you or your child, as well as request corrections if the data is inaccurate or incomplete. Requests must be made in writing to our Privacy Officer.
